Financial, No-Show & Late Policy Agreement

Payment & Card-on-File Policy

  • I understand that a valid credit or debit card is required to be saved on file to schedule and receive services.
  • I authorize Lower Columbia Veterinary Clinic to securely store my card information and charge it in accordance with this policy or with my approval for services rendered.

Surgery Deposit Policy

  • I understand that, if I “no-show/miss” a scheduled surgery appointment,
  • That moving forward, surgery appointments require a non-refundable deposit of $200 to schedule in the future.
  • This deposit will be applied to the total cost of the surgery at the time of payment.
  • If I no-show or fail to give at least 24 hours’ notice to cancel or reschedule, the deposit will be forfeited and will not be refunded.
  • If I attend the appointment or cancel with sufficient notice, the deposit will be applied or rescheduled accordingly.

No-Show & Missed Appointment Policy

  • A “No-Show” is defined as failing to arrive for a scheduled appointment without giving at least 24 hours’ notice.
  • A $50 No-Show Fee will be automatically charged to the card on file for each missed appointment.
  • If I miss three (3) consecutive appointments, I understand that future appointments will only be scheduled as drop-offs.

Late Arrival Policy

  • If I arrive more than 10 minutes late to a 30-minute appointment, I understand that I may be asked to:
    • Reschedule, or
    • Wait until the team is available to see my pet. I acknowledge that this wait could range from 30 minutes to several hours depending on the clinic’s schedule.
    • You may see a different doctor then whom you had originally scheduled with.
  • If I arrive 20 minutes or more late, I understand that:
    • I will be considered a No-Show,
    • A $50 No-Show Fee will be charged to the card on file, and
    • I will need to reschedule for a new appointment time.

Acknowledgment

We understand that unexpected things happen, and your time is valuable — just like ours and that of our other clients. These updates to our Financial, No-Show, and Late Arrival Policies are being made to help us better serve all of our patients by reducing last-minute cancellations, managing our schedule efficiently, and ensuring timely care for pets who need it.

Every missed or late appointment takes time away from another pet who could have been seen. Our goal is to create a fair and predictable schedule so that all animals receive the care they need, when they need it.

We’re committed to being transparent and flexible when we can, and we ask that you communicate with us if you’re unable to make your scheduled appointment. Your cooperation helps us support not just your pet, but the entire Lower Columbia Veterinary Clinic community.
